When it comes to planning meetings or events outside the main offices often requires considering different locations. While most people think of hotels and convention centers, the best meeting planners consider the cities that these venues are in. Here’s why:

• It’s not all about the meeting – A city has many things to recommend it, from restaurants to golf course. All work and no play makes for bored staff members and participants. Keeping people happy after hours is often just as important as the contents of the meetings/events themselves.

• Certain cities have venues that offer special significance – The significance could be historical in general, or specific to a certain party to the event/meeting. Sending a message that a meeting was panned at a location for a specific reason could be flattering or it could be a massive warning sign. Therefore, consider this piece of advice one that cannot be ignored because every participant may read something into the choice of venue.

• Weather and allergies – The weather just happens to be sunnier and less humid in certain areas, and that may be perfect. Of course, planning to hold an event or meeting in a city without regards to the fact that the speaker at the event is deathly allergic to the local plant life could also be a major mistake.

When it comes to being a successful meeting or event planner you need to learn how to look at things strategically. You need to break things down in small goals so that you can reach them in a timely manner for an overall success. You will find that the success of your event will matter on many things. The most important thing that you need to learn is that nothing ever goes according to plan, and that is why you should always have some backup plans to make everything possible.

When you are tackling an event you need to think of it on a large scale and a small scale. What is it that you want others to think about the event? Meeting the Special Needs and Desires of Clients

Some clients have special needs or desires. That’s all part of event planning and you learn to go with the flow.

Most hotels can adapt to any physical or dietary need with enough advance notice. A small number of clients will insist on accommodations that totally fit in with their lifestyle. What if your client is vegetarian and prefers a vacation with like-minded people?

This can be an interesting challenge. Many omnivorous restaurants offer vegetarian alternatives to their meals but finding a resort that actually caters to vegetarians gets a little tricky. You can book a trip in Austria, Bulgaria, France, Italy, Spain, Switzerland, or the United States.

Special needs are not insurmountable problems for the experienced meeting planner. It may take a bit more web surfing to accommodate these clients but it’s well worth the effort.
